Privacy Notice

Aviation Pathway Australia (ABN 40 976 532 986) provides preliminary and personalised Australian aviation pathway assessments. This notice explains how we collect, use, store and disclose personal information submitted through the website and secure case-file process.

Information we collect

We may collect your name, email address, date of birth, nationality, location, declared Australian status and work-right information, aviation qualifications, licences, maintenance experience, evidence position, career and relocation goals, payment references, correspondence and other information you choose to provide.

Paid customers may upload supporting documents including CVs, licences, qualifications, module records, logbooks, task records, employer references, training records, RPL assessments and certified translations.

Please provide only information that is reasonably necessary for the assessment. Where practical, redact passport numbers, financial information, home addresses, signatures and unrelated sensitive information before upload.

How we use information

We use information to generate the free preliminary result, match payments to submissions, prepare and review paid assessments, contact you for clarification, deliver reports, respond to enquiries, maintain business and audit records, improve the service and protect the security and integrity of the platform.

We do not sell your personal information.

AI-assisted processing

The free preliminary result is generated automatically from the answers you provide. Paid assessments may use AI-assisted processing to organise questionnaire answers and relevant supporting documents, identify evidence gaps and prepare a draft report.

AI output is not the final paid assessment. Every paid assessment is reviewed by a person before it is approved and delivered. The service does not use AI to make an official CASA, RPL, employment or visa decision.

Where AI-assisted processing consent has been recorded, retained case records may also be reprocessed internally to compare approved AI model versions, test report quality and safety controls, and improve consistency. These private quality tests do not change the customer’s delivered report, payment or case status and do not trigger customer communications.

Local currency display

To make pricing easier to understand for international visitors, the website may use country-level location information supplied by Vercel from the request IP address to select an indicative local currency. We do not request precise location for this feature. The displayed conversion is informational only; Stripe determines any local-currency amount offered at checkout.

Service providers and overseas processing

We use third-party service providers to operate the service. Questionnaire data and document metadata are stored using Supabase, and supporting documents are stored in private Supabase Storage. Relevant case information and documents may be processed through the OpenAI API. Stripe processes payments, Resend sends transactional emails, and Vercel provides website hosting, server functions and privacy-focused website analytics.

Some of these providers are global services. Depending on their infrastructure, subprocessors and our service configuration, personal information may be processed or stored outside Australia, including potentially in the United States and other countries where those providers operate. Their handling of information is also governed by their own privacy and security arrangements.

Optional advertising measurement

We use Google Ads conversion measurement to understand whether our advertising leads to completed free assessments and to evaluate advertising performance.

Google advertising measurement is optional. On your first visit, you can allow or reject this measurement. If you reject optional measurement, our Google Ads measurement tag is not loaded. If you allow measurement, Google may receive information used for advertising measurement, such as the page URL, advertising click information and the fact that a free assessment was completed, and may use cookies or similar identifiers for measurement.

Our implementation keeps advertising personalisation disabled. We do not send questionnaire answers or uploaded document contents to Google Ads through the assessment-completion conversion event.

You can change your choice later using the Privacy settings control shown on pages where optional advertising measurement is available. A changed choice applies to future measurement.

Security and access

Public website visitors cannot browse stored submissions or supporting documents. Paid customers receive a signed case-access link. Upload permissions are short-lived and files are uploaded into private storage. Access by Aviation Pathway Australia is limited to providing, reviewing, delivering and administering the service.

No online system can be guaranteed completely secure. Do not submit passwords, banking credentials, unnecessary identity documents, unrelated medical information or confidential material you are not authorised to share.

Retention and deletion

We keep personal information only for as long as it is reasonably needed for the assessment, follow-up support, quality assurance, dispute handling, security, business records and applicable legal obligations.

Raw supporting documents are not intended to be kept indefinitely. Our normal practice is to delete them from active case storage within 90 days after the final report is delivered, unless they are still reasonably needed for an unresolved enquiry, dispute, legal obligation or a customer-requested follow-up. Core assessment records and the final report may be retained for up to 24 months for service, quality and dispute-resolution purposes. Transaction and accounting records may be kept for longer where required by law.

You may request earlier deletion. We will comply where reasonably possible, subject to records we need to retain for legal, accounting, security or dispute-resolution purposes.

Access and correction

You may ask what personal information we hold about you, request a copy, or ask us to correct information that is inaccurate or out of date by emailing assessments@aviationpathwayaustralia.com.au. We may need to verify your identity before releasing or changing personal information.

Privacy complaints

If you believe we have mishandled your personal information, email assessments@aviationpathwayaustralia.com.au with enough detail for us to investigate. We aim to acknowledge privacy complaints within 5 business days and provide a substantive response within 30 days where practical.

You may also contact the Office of the Australian Information Commissioner (OAIC) for information about Australian privacy rights or to make a complaint where the OAIC has jurisdiction.

Customers outside Australia

If privacy law in your country gives you additional rights, you may contact us to exercise those rights. We will consider the request in accordance with applicable law. This notice does not limit rights that cannot lawfully be excluded.
